Position Summary

The Unaccompanied Children (UC) Program Assistant has responsibility for handling the support functions for program operations. This includes maintaining calendars, word processing, compiling information, filing documents, and handling incoming and outgoing mail.

 

Hourly Wage: $17.00/HR

Essentials Duties and Responsibilities

  • Provides data metrics support for both the Transitional Foster Care and Home Study Post Release Unaccompanied Children (UC) programs.
  • Responsible for ensuring that policies and procedures are maintained and up to date as directed by the Department of Health and Human Services, Office of Refugee Resettlement. This includes participating in the edit process, ensuring revisions are on time.
  • Ensures the referral, continuity and ongoing maintenance of electronic client files.
  • Assists and supports the routing, timely documentation, and data entry of serious incident reports and notice of concerns.
  • Assists and supports Case Managers in the development and maintenance of up-to-date community resource databases for each program.
  • Inputs information quickly and accurately from a variety of sources into a software system, database, or spreadsheets.
  • Compiles and distributes reports as scheduled that include, but are not limited to, program capacity, census, annual and quarterly outcomes, monitoring outcomes and compliance reports.
  • Assists with timely completion of program reports within the appropriate time frame.
  • Coordinates and prepares all forms, correspondence, schedules, spreadsheets, mailings, copying, and reports needed by the UC programs.
  • Responsible for data entry.
  • Responsible for opening and closing cases and corresponding files for UC programs.
  • Processes background checks for sponsors and adult household members in sponsor households.
  • Responsible for processing incoming mail, and assist with outgoing mail as needed.
  • Organizes and maintains program records, files, checklists, schedules, demographics, calendars, and outcome measures as needed.
  • Creates packets for staff within UC programs.
  • Performs other special assignments at supervisor’s request.

Other Knowledge, Skills, and Abilities

  • Successfully navigate computer programs such as Excel, Word, Access, and other web-based programs.
  • Excellent time management and multi-tasking skills.
  • Ability to manage multiple schedules.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to understand and carry out oral and written instructions.
  • Ability to relate to diverse populations and cultures while communicating with clients and the public in a courteous and effective manner.

Recommended Employment Qualifications

Education:

A high school diploma or general education degree (GED) equivalent is required.

 

Experience:

A minimum of one year of professional experience in an office setting, including experience with computer systems is required

none required.

 

Supervisory Responsibilities:

This position does not have supervisory responsibilities.
