Essentials Duties and Responsibilities

  • Answers multi-line phone system, takes messages, directs calls, and answers inquiries.
  • Greets clients and guests and directs them to the appropriate person/program. 
  • Ensures appropriate staffs are notified with clients/guests arrival in a timely manner.
  • Ensures lobby is well managed and guests are accounted for.
  • Provides paperwork to counseling clients, takes payments, and copies insurance cards.
  • Completes counseling payment receipts for clients.
  • Completes payment log at end of day. 
  • Schedules counseling appointments.
  • Makes reminder calls for Behavioral Health Clients.
  • Sorts and distributes incoming mail in accordance to agency policy.
  • Ensures that mail goes out and faxes are distributed.
  • Ensures safety of client entrances during inclement weather.

Other Knowledge, Skills, and Abilities

  • Knowledge of basic software applications and basic single-operating system.
  • Strong customer service orientation
  • Ability to maintain confidential information.
  • Ability to have a non-judgmental positive attitude and assessment toward families in crisis.
  • Ability to communicate effectively, both written and orally.
  • Ability to work with a diverse population.

Recommended Employment Qualifications

Education:

  • A minimum of a high school diploma, some college experience preferred.

Experience:

  • A minimum of six months to one year of office administration experience.

Certificates, Licenses, Registrations:

none required.

 

Supervisory Responsibilities:

This position does not have supervisory responsibilities.
