Position Summary

This position provides administrative and community-based support for the One Township at a Time (OTaaT) program, a senior engagement initiative serving older adults across Newaygo County. The Program Assistant is responsible for coordinating logistics, preparing materials, maintaining program records, and offering on-site event support. The ideal candidate is detail-oriented, personable, and passionate about reducing social isolation for seniors.

 

Hourly Wage: $17.00-$20.40

Essentials Duties and Responsibilities

  • Coordinates and prepares materials for OTaaT township events and activities, including calendars, flyers, sign-in sheets, and promotional content.
  • Assists with event logistics, including supply prep, transportation of materials, set-up, hospitality, and clean-up.
  • Travels locally to township sites and eligible to submit for mileage reimbursement.
  • Maintains organized program files, rosters, checklists, schedules, and records, including participant feedback and outcome tracking.
  • Supports the Program Manager in collecting and reporting data required for grants and internal tracking.
  • Handles general office duties such as copying, mailings, data entry, and filing to support program operations.
  • Serves as a point of contact for township volunteers and partners, assisting with inquiries via phone or email and ensuring timely communication.
  • Tracks program supplies and assists in ordering and inventory management.
  • Supports the Program Coordinator in creating a welcoming, inclusive environment at all events.
  • Drives for agency business.
  • Perform other duties as assigned by supervisor.

  • Knowledge of computer systems and relevant software.

  • Strong knowledge of general office practices and computer systems, including Microsoft Suite, Canva, and Outlook calendar and email.

  • Friendly and professional demeanor when interacting with older adults and community partners.
  • Highly organized with the ability to prioritize and manage multiple tasks.
  • Willingness to travel locally to township sites.
  • Working both independently and as part of a team.

Position Requirements:

  • This position requires personal reliable transportation.
  • Must have a valid Michigan driver’s license and a good driving record with zero work restrictions.
  • Must have personal auto insurance as required by law with minimum bodily injury coverage limits of $250,000 per person/$500,000 per incident or $500,000 combined.
  • Travel to township offices and other agency offices is required.
  • Must be willing to work irregular hours including evenings, holidays, and weekends.
  • Must submit to Agency approved background checks.

While performing the duties of this position, the staff member is regularly required to talk and/or hear. The staff member is occasionally required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.  The staff member, on occasion, may be asked to move or lift items up to 40 pounds in weight.

 

Work Environment:

This position is office and community based and requires travel to other agency offices and township sites as required by position responsibilities and/or agency management.  This position will be routinely exposed to typical office noise levels.

Recommended Employment Qualifications

Education:

High School diploma or general education degree (GED) is preferred.

 

Experience:

  • A minimum of 1 year of professional experience in an office setting or community program setting is required.
  • A minimum of 1 year of prior work experience working with an older adult population is preferred.
  • A minimum of 1 year of experience with Microsoft Office Suite, Canva, and general administrative tools is required.

Supervisory Responsibilities:

This position does not have supervisory responsibilities.
